Job Description

LEGAL ASSISTANT          (Regular Full-Time Non-Exempt)                      Starting Wage:  $16.96

                             REPORTS TO:  City Attorney

The Legal Assistant works in support of the City Attorney’s office, which provides general legal counsel to the municipality, including City staff, elected officials, and board and committee members.  The Legal Assistant supports the City Attorney’s office by managing and performing administrative, clerical, and secretarial duties for all attorneys.  The Legal Assistant manages a document file system, assists with departmental budgeting and purchasing, drafts correspondence and documents, and conducts research and analysis on municipal government issues. 


  1. Perform all administrative, clerical and secretarial functions of the City Attorney’s Office and its attorneys in an accurate, timely and professional manner.  (Daily)
  2. Receive, manage, document and monitor all legal requests sent to the City Attorney’s Office.  (Daily).
  3. Answer phone calls and respond to e-mails from City staff, City officials and the public, in a timely and professional manner.  (Daily)
  4. Prepare professional correspondence, reports and documents to ensure grammatical integrity, accurate spelling, and substantive coherence.  (Daily)
  5. Provide scheduling, research and clerical support to the City Attorney’s Office attorneys in an accurate, timely and professional manner. (Daily)
  6. File and maintain paper and electronic documents and files consistent with City and City Attorney’s Office policies.  (Daily)
  7. Recommend, implement and maintain office procedures to perform administrative, clerical and secretarial functions in an accurate, timely and professional manner.  (Daily)
  8. Provide outstanding customer service to City staff, City officials, and the public.  (Daily)
  9. Prioritize work load and attorney needs in a professional and organized manner. (Daily)
  10. Ensure and maintain client confidentiality and compliance with the Kansas Rules of Professional Conduct.  (Daily)
  11. Aptitude to conduct research as requested by the attorneys in a timely, efficient and accurate manner.  (As needed)
  12. Good organizational and management skills to perform oversight of office supplies, subscriptions, memberships, attorney licenses, and other budgeted items, in accordance with City policies and procedures.  (As needed)
  13. Ability to assist with office budgeting, ordering, and invoice processing.  (As Needed)
  14. Ability to take a lead role in assuring the smooth functioning of office equipment, telecommunications, and other computers and devices  which requires developing a good relationship with the City’s Information Services work group.  (As Needed)
  15.   Ability to attend meetings, court hearings, or other gatherings or appointments in support of the attorneys. (As Needed)
  16. Ability to work independently to prepare and organize documents, exhibits, and materials for litigation.  (As Needed) 
  17.  Ability to maintain a valid Kansas Driver’s license. (Daily)
  18. Other duties as assigned.

  5. Excellent typing and computer skills; high-level use of Microsoft Office programs to include Word, Excel, PowerPoint, Outlook, Publisher, and others.
  6. Language skills necessary to read, analyze, and interpret legal documents, technical documents, journals, regulations, ordinances, and financial data.
  7. Ability to remain organized, professional and courteous in a high-demand environment.
  8. Ability to exercise good, independent judgment.
  9. Ability to cooperate and collaborate as part of a team.
  10. Ability to deal courteously, professionally and effectively with all persons, including City staff, elected officials, board and committee members and the general public.  The ability to prioritize work and to work effectively under time constraints also is expected and required.  
  11. Ability to proficiently operate computers, office equipment, software programs, and other needed office technology.
  12. Ability to perform all essential job functions and principal accountabilities.

Physical/Mental Demands/Working Conditions

  1. Must be able to make rational decisions efficiently during variable and sometimes stressful conditions, and must maintain a professional and courteous demeanor in a fast-paced, high-stress environment. 
  2. Ability to perform work requiring sitting for long periods of time to adequately perform the essential functions of the job.
  3. Essential physical functions include the ability to talk, hear, use hands to finger, handle or feel, reach with hands and arms; specific vision abilities required by this job include close vision, distance vision, and color vision.
  4. Ability to navigate from one location to another and move throughout the building.

Machines/Equipment Used

Phone system; personal computer and related software applications; copier; printer; fax machine; calculator; scanner, and any other hardware or software needed to perform the functions of the position.


Education: Bachelor’s degree from an accredited four-year university, or a paralegal associate’s degree, is required.

Experience: At least two years of administrative office experience is required. Experience managing office operations and budgets, performing clerical and secretarial duties, writing professional correspondence, and interacting with the public is preferred.  Knowledge of municipal government functions and legal resources related to contracts, employment, construction, land use and state and federal laws is preferred.


This position works under the supervision of the City Attorney in service of the City Attorneys Office’s attorneys; however, the Legal Assistant must be able to work independently with only occasional supervision needed while making independent decisions.
